    Job Title: Membership Manager/Executive Administrator, NSCDA-GA, Savannah, GA

    Summary of Position: The Membership Manager/Executive Administrator is responsible for the management and implementation of the membership program and offices of The National Society of The Colonial Dames of America in the State of Georgia. The membership program is an important vehicle to raise operating funds to support the organization as well as the historic house museum owned by NSCDA-GA, The Andrew Low House Museum. This position provides a high level of administrative support to the headquarters office. This position is responsible for managing membership, daily operations, and general oversight of the office located in a historic building in the heart of Savannah’s Historic Landmark District. Report to President, NSCDA-GA, and Executive Director, The Andrew Low House Museum. Part-time, 30 hrs. per week. Paid time off.

    Required Qualifications and Skills:

     Minimum of three years of proven experience in an executive assistant position or a high level administrative assistant position.

     Expertise with office management technologies. High degree of proficiency in Microsoft Office Suite, Excel, Word, Publisher, WordPress and other design software. Experience with databases and willingness to learn POS software.

     Strong interpersonal and communication skills, written and verbal (via phone, in-person and email). Able to work well and collaborate effectively with a wide range of members, constituencies, funders, public, and staff. Experience exercising discretion and confidentiality.

     Excellent organization skills with an ability to think proactively and prioritize work. Proven time management skills and ability to meet deadlines.

     Experience in a not-for-profit or cultural institution is preferred.

     Self-directed and able to work with little supervision.

     Comfortable in both leadership and team-player alternating roles as the situation requires.

     Experience using and maintaining office equipment, including network assistance, printers and phone systems.


     Manage and coordinate all aspects of communication and correspondence from the State Headquarters. Maintain an efficient system of thank you letters, tax letters, and other correspondence with membership in support of President, Treasurer, and Registrar. Distribute messages to Board members. Update NSCDA-GA website as needed. Coordinate necessary communication with ALH Bookkeeper.

     Coordinate with Communications Chair and distribute three e-newsletters and two hard copy newsletters each year.

     Manage property on a daily basis including arranging site visits for ongoing maintenance and coordinating occasional rentals.

     Support Treasurer by posting dues and other payments to iDames membership software. Set up PayPal and Dropbox accounts, prepare mail-merge for dues categories and membership

    categories, print and mail letters. Scan and sort dues payments by amount and donations; input in iDames; prepare contribution reports, send email reminders.

     Coordinate and assist with special events that take place during normal hours and also after hours.

     Collect and prepare roster of state and local officers, prepare individual Town committee rosters biannually and put on website for Town Committees.

     Assist with all Society events that take place before or after hours.

     Prepare materials for board meetings and maintain meeting schedule for committee chairs.

     Maintain database and coordinate marketing and solicitation correspondence for Friends of the Andrew Low House membership. Prepare RSVP list and nametags for related events, and create a corresponding newsletter periodically.

     Occasional travel required.

     Other duties as assigned.

    Physical Job Requirements:

    While performing this job, the employee will be required to sit, bend, stand and work, to lift up to 35 lbs. occasionally, do close work with a computer monitor and perform repetitive hand movements. Employee must be able to use verbal communication effectively.
