Job Summary: Under general supervision, the Assistant Manager operates and supervises the Mosaic Museum in the absence of the Manager. This position is responsible for scheduling staff, tours, special events, and facility rentals. Additional duties include assisting with research and interpretive development, exhibits, conducting tours and educational programs, and overseeing volunteers and interns. The Assistant Manager must be flexible and adaptable to provide operational, administrative, and programmatic support to ensure a positive visitor experience and smooth museum functioning.
Description:
- Assist the General Manager with daily operations, including staff supervision, administrative tasks, and reviewing, editing, and approving staff timesheets for biweekly payroll.
- Motivate and train staff to deliver superior customer service and maintain consistently positive visitor experiences.
- Coordinate all required Authority training, including make-up sessions, and maintain training records (e.g., safety briefings, customer service).
- Serve as the primary contact for vehicle maintenance, ensuring trolleys are operational, clean, and safe for tours. Train staff on vehicle operations and report safety concerns related to vehicles and tour routes.
- Ensure audio/visual displays at the museum are operational; coordinate with technical support as needed.
- Manage business activities related to leasing venues and private tours, including contract review and signature collection, timely payment processing, event staffing coordination, and client communication to ensure safe and professional property use.
- Serve as the primary on-call contact for private events and venue rentals, ensuring smooth coordination, addressing client and staff needs in real time, and resolving any issues that arise during events.
- Coordinate with Mosaic staff for property showings.
- Communicate utility and landscaping needs with appropriate departments, ensuring power availability, sprinkler shutoff, and utility locates before tent installations.
- Collaborate with the Curatorial Aide/Housekeeper to maintain cleanliness and presentation of museum areas. Assist in developing cleaning and maintenance checklists and monitor task completion.
- Conduct tours, lectures, and presentations as needed, both on-site and externally.
- Maintain effective and professional communication with visitors, staff, volunteers, and stakeholders to foster a positive and productive work environment.
- Participate in hurricane preparedness planning and evacuation efforts.
- Provide general administrative support including record keeping, data entry, mail distribution, filing, correspondence, and completing forms as directed.
- Attend regular staff development and training sessions.
- Assist with special projects and events as assigned.
- Perform other duties as assigned.
Minimum Qualifications:
- Bachelor’s degree in museum studies, history, public history, business administration, marketing, or a related field.
- Minimum of three (3) years’ experience in a museum, public history, or related environment.
- Minimum of two (2) years’ experience supervising staff.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Excellent interpersonal skills with demonstrated ability to work well with co-workers, volunteers, and the general public.
- Ability to handle multiple tasks simultaneously and effectively.
- Flexible schedule, including availability for evenings, weekends, and holidays.
- Must be at least 18 years old.
Preferred Qualifications:
- Certified Interpretive Guide (CIG) certification.
- Demonstrated understanding of museum fields.
- Experience in customer service and guest experience coaching.
Licenses/Background Checks:
- A valid driver’s license is required.
- Employment for this position is contingent upon successful completion of criminal, credit check, and MVR background.
Physical/Sensory Demands:
- Exert up to 50 pounds of force occasionally, up to 20 pounds frequently, and up to 10 pounds constantly to move objects.
- Spend more than 50% of the typical workday walking, sitting, standing, and performing repetitive motions with wrists, hands, or fingers.
- Spend 25–50% of the workday climbing stairs, pushing, and pulling.

- Use close vision regularly for tasks such as reading, operating vehicles, and monitoring facilities and equipment.
Working Environment:
- Majority of work is indoors in office and museum settings.
- Occasional outdoor work with exposure to extreme heat, humidity, adverse weather, and occasionally extreme cold.
- Exposure to hazards such as moving mechanical parts and vehicles.
- Regular exposure to outdoor and semi-enclosed environments such as parking lots and covered trolley areas, where fumes, vehicle exhaust, odors, and dust may be present.
- Noise levels range from quiet to loud, depending on visitor traffic, events, and proximity to vehicles or trolleys.
