    The Museum Registrar plays a critical role in the management and preservation of artifacts and collections at the museum. The primary responsibility of this position is collections management, including but not limited to documentation, inventory, record keeping, loans, accessioning, risk management, and implementing museum standards related to care to collections. The position requires regular travel between the Mound House and offsite collection storage facilities. The position will occasionally develop educational programs for Town residents and the Southwest Florida public regarding collection care, as well as work with the education staff to develop and implement programs related to collections. This position also provides administrative, research, outreach, and project support to the Mound House staff as needed. This position would include limited coverage of the Museum Store as needed. This position requires a varying schedule including nights and weekends. The Museum Registrar performs work which requires independent judgement and discretion.

    Essential Duties and Responsibilities:

    • Responsible for all aspects of collections management for the Town.
    • Oversee and manage the registration, documentation, and catalog of museum artifacts, ensuring their proper care, storage, and accessibility for exhibition, research, and educational purposes.
    • Process uncatalogued collections and resolve abandoned property.
    • Ensure accuracy and completeness of artifact records in the museum's database or collections management system.
    • Implement standardized procedures and protocols for artifact handling, labeling, and documentation to maintain consistency and compliance with best practices.
    • Conduct regular inspections of artifact storage areas to monitor environmental conditions, security, and preservation needs. Designate proper storage for collection objects as needed.
    • Coordinate the movement of artifacts for exhibition, research, loans, and other purposes, while ensuring proper documentation and adherence to legal and ethical guidelines.
    • Create and oversee collections paperwork including but not limited to loan documents, donation records, condition reports, and accessioning/deaccession files
    • Research, facilitate, and implement adoption of a collection management system.
    • Manage inventories, enter data, and maintain collection records.
    • Responsible for incoming and outgoing loan activities such as but not limited to, preparing loan agreements, completing condition reports, communicating with lenders and borrowers, and arranging shipping and transportation.
    • Oversee conservation, restoration, historic preservation, and archaeological excavations as needed for the preservation of objects and landscapes.
    • Develop, implement, and train staff on collection policies and procedures including integrated pest management, climate control, and handling.
    • Oversee and facilitate access to collections by researchers and the general public, while ensuring the security and confidentiality of sensitive information.
    • Research, prepare, edit, and maintain educational and exhibit materials.
    • Participate in exhibition-related activities, such as object handling, packing, unpacking, and condition reporting, to ensure the safe and successful presentation of artifacts.
    • Ensure the Town's compliance with state and federal cultural property laws and regulations.
    • Ensure the Town's compliance with collections ethics and best museum practices.
    • Serve on accession committee and attend all meetings as assigned.
    • Advocate for the collection and development budget request to properly care for and manage the Town's collections.
    • Assist in developing and implementing the disaster management plan for The Mound House Museum, cultural resources, and collections.
    • Provide training and guidance to museum staff, volunteers, and interns on collections management principles, procedures, and best practices.
    • Engage with the local community through outreach activities, including lectures, workshops, tours, and educational programs, to promote awareness and appreciation of the museum's collections and mission.
    • Supervise volunteers and interns working in collections as needed.
    • Assist in writing grants as it relates to the collection.
    • Assists with all aspects of special events and visitor experience.
    • Aid in general office routine, which includes registration of participants, preparation of reports, answering the phone, and dispensing general information to the public.
    • Ensure compliance with safety standards and regulations.
    • Attends all assigned events and meetings.
    • Performs other duties as assigned.

    REQUIREMENTS:

    Education, Certification, and Experience:

    • Bachelor's Degree in Museum Studies, Archaeology, Historic Preservation, or related field or equivalent experience. Master's degree preferred.
    • Minimum of 2 years of experience working directly in museum registration, collections management, archives, or related settings.
    • Possession of a valid Florida driver's license is a requirement for this job.
    • CPR and First Aid certification preferred but must attain certification within 90 days of the date of hire.

    ***Relevant work experience may substitute for required education on a year for year basis.

    Knowledge, Skills, and Abilities:

    • Knowledge of and interest in historic and archaeological collections
    • Knowledge of up-to-date collection care, and best practices for collections management
    • Knowledge and experience with cultural property laws and NAGPRA compliance.
    • Strong knowledge of museum registration practices, cataloging standards, and collections management principles.
    • Skilled in computer literacy which includes, proficiency in Microsoft Windows Suite and collection management software.
    • Skilled in creating and implementing collections related policies and procedures.
    • Experience working with unmanaged collections and the ability to implement processes to organize collections to ensure proper practices and regulations are followed.
    • Skilled in collection inventorying
    • Ability to prepare routine administrative paperwork.
    • Ability to communicate effectively both orally and in writing.
    • Ability to analyze and organize data and prepare records and reports.
    • Ability to successfully work with and serve a diverse local community.
    • Ability to maintain positive and collaborative relationship with affiliate tribal governments and relevant descendant communities.
    • Ability to develop and maintain positive working relationships with the general public, coworkers, and program participants.

    Physical Requirements:

    • Requires handling of average-weight objects up to 50 pounds and standing, walking, stooping, pushing, pulling, walking, and crawling. In addition to paddling and helping visitors get in and out of kayaks in unstable footing conditions. Effort applies to no more than six (6) hours per day.
    • Prolonged periods of sitting at a desk and working on a computer.
    • Ability to accomplish work which requires physical stamina.

    Environmental Requirements:

    • Environmental factors may vary, and position will require some time spent outdoors at all times of the year.
    • Ability to perform strenuous work in varying and adverse weather conditions including heat, cold, rain and potentially dangerous environments.
