    POSITION SUMMARY:

    The archivist will work strategically with the Collections Manager at the Frazier and with the Manager of Communications of a corporate partner, whose archive the museum is contracted to manage. The collaboration between these entities is important for further success of this program. The Archivist is responsible for the day-to-day management of the archives, specifically the digitization and maintenance of the collection. Growth of the collection is expected and will be planned into the scope of the position. The Archivist will work closely with many stakeholders involved with the corporation to ensure the materials are available as needed. The Archivist will also work closely with the Collections and Exhibitions departments regarding collaborative projects, collections care, and installations.

     

    JOB QUALIFICATIONS:

    ·         Minimum of a B.A. in History, Library Science, Archival Science, or Records Management (Master’s degree in Library or Information Science with a concentration in archival studies strongly preferred)

    ·         Certification by the Academy of Certified Archivists and/or Digital Archives Specialist (DAS) credentials preferred

    ·         Minimum of 5 years of managing corporate archives

    ·         Demonstrated knowledge of professional archival methods and practices

    ·         Extensive knowledge in acquisition, archiving, accessioning, and cataloging

    ·         Required experience with current versions of Microsoft Office, PastPerfect, or similar software

    ·         Must be detail-oriented with excellent communication (oral and written), organizational, and research skills

    ·         Must be a self-starter with the ability to work on multiple projects with little or no supervision;

    ·         Must have good work ethic, strong interpersonal skills, and the ability to work both independently and collaboratively to achieve departmental and institutional goals

    ESSENTIAL JOB FUNCTIONS:

    Information Management

    • Identifies ways to be strategic and intentional about materials and activations

    ·         Evaluates, selects, arranges, stores, preserves, and retrieves  materials in appropriate ways

    ·         Creates, compiles, and maintains documents, histories of use, and physical histories of items in the archives, such as:

    o    Legal forms and acknowledgments, publications, and periodicals

    o    Correspondence, minutes, speeches, charts, company manuals, and audio/visual recordings

    o    Biographies, genealogy information, scrapbooks and personal memorabilia

    o    Archival collections catalog and files (acquisition, accession, provenance)

    o    Loan documents, conservation, and condition reports

    o    Exhibition, insurance, and location records

    ·         Coordinates/assists with computer projects such as :

    • The digitalization of archives and the migration of files between databases
    • The input and update of collection data in the database

    ·         Makes the archives accessible and disseminates information to corporate stakeholders as needed

     

    Collections Management

    • Monitors legal and ethical implications and care standards of transactions for the archives
    • Facilitates care and control of the collection on site
    • Maintains archives storage areas
    • Determines and implements storage methods
    • Maintains integrated pest management programs for archives
    • Monitors temperature and humidity levels in archives
    • Assists in development and implementation of disaster plan
    • Monitors the movement of archives, internal and external
    • Oversees packing and shipping
    • Acts as courier or designates courier
    • Assists with development of security procedures / works closely with security personnel
    • Contracts for outside services as needed (conservation, packing, shipping, photography, insurance)
    • Negotiates the acquisition of new materials

     

    Exhibitions

    ·         Organizes publicity events surrounding the archives, such as presentations and exhibitions

    • Maintains/implements loan contracts for the archives
    • Schedules and supervises packing, shipping, condition reporting, and object movement
    • Provides updated facility reports and certificates of insurance
    • Works with Preparators to ensure safe display and mounting techniques, and assists with installation
    • Prepares or helps in preparation of artifact interpretation

     

    Other Responsibilities

    • Researches and documents the history, authenticity, and provenance of archives in the collection
    • Manages and assists in selected special projects and performs other related duties as assigned

    ·         Physical demands:  In the work environment described below, position requires working at desk and utilizing a computer for prolonged periods of time and good eye/hand coordination. Position also requires verbal and written conversation with others, as well as standing, walking, bending, climbing, reaching, strenuous lifting/moving objects up to 50 pounds. Vision abilities required by the job include close vision.

    ·         Work Environment:  Work will be performed in an office environment, and in museum spaces. Occasional evening and weekend work is required.
