    Working Title: Director of Visitor Services

    Essential Job Function:

    This position serves as the main contact and organizer for all services to visitors of the center, including on-campus and outside users of the facility. As the main point of contact for visitors, the position serves as the public face of the Turchin Center.  

    Specific responsibilities are described as follows:

    Visitor Services:

    • Provide reception duties for the facility by greeting visitors and guests, orienting them to the facility, and relaying current and upcoming exhibitions, programs and events to visitors and guests
    • Manage incoming phone calls and e-mail messages to the facility by providing information and directing questions/inquiries to the appropriate area
    • Coordinate with other TCVA staff in maintaining TCVA mailing lists (general list and

    i-contact) by adding names of workshop participants, tour participants and visitors requesting additional information about the TCVA; assist with mailings, as necessary

    • Maintain records concerning general attendance, visitor demographics, workshop registrations and attendance at receptions and other special events
    • Support the work of the Arts Education and Outreach staff by assisting workshop participants in registering for classes, as needed, providing them with details about other TCVA programs/events, and connecting them to the TCVA’s donor program, when appropriate
    • With other members of the TCVA team, provide personalized stewardship and hospitality

    for all TCVA donors and Advisory Board members

    • Work closely with TCVA Director and Director of Donor and External Relations to assist in identifying prospective donors and cultivating their support for the TCVA
    • Assist in executing donor events, as necessary

    Facility/Event Management:

    • Maintain the facility’s calendar and scheduling process, in consultation with other staff
    • Serve as the point person for campus and community groups making space requests, and in discussing/vetting details related to space usage requests with the TCVA staff
    • Manage the rental program for on-campus and off-campus users by contracting, planning, organizing and supervising all special events
    • Plan, organize and supervise receptions and special events in the facility (including space set-up, catering, alcohol sales, and musical entertainment), working with Director of Administration to manage budgets for these events


    • Hire, supervise and provide mentoring and guidance for student gallery ambassadors
    • Coordinate with other staff to develop comprehensive training program for gallery ambassadors
    • Coordinate work schedules and timesheet submission process for gallery staff, ensuring adequate coverage for all evening, weekend, and holiday hours
    • Play a supporting role in establishing a docent program for the TCVA, as the program is planned and developed over time
    • Provide security for all objects in facility; supervise building security and serve as point person in maintaining alarm system and providing staff training related to system

    Financial/Business Management:

    • Coordinate all retail and art sales, coordinating with curatorial and donor relations staff, as well as the Director of Administration (in developing and monitoring budgets)
    • Operate cash register; process deposit paperwork and deposits, in accordance with

    university policies and procedures

    Organizational Functions:

    • Fully participate as a team member of the TCVA staff by working closely with staff

    colleagues in the curatorial, education, outreach, marketing, development, administrative and financial areas of the center’s operations

    • Attend and participate in staff meetings, planning sessions and retreats, and other

    meetings, as necessary

    • Meet regularly with TCVA Director to share current activities, ideas, opportunities

    and challenges


    Minimum Qualifications:

    • Bachelor’s degree; or equivalent combination of training and experience
    • Strong verbal and written communication skills
    • Strong customer service and public relations skills
    • Ability to multi-task and work with frequent interruptions
    • Ability to work independently, as well as in a team setting
    • Excellent organizational and time management skills, and careful attention to detail
    • Knowledge and proficiency with Microsoft office suite

    Preferred Qualifications:

    • Experience working in an arts setting and/or experience working in a high-traffic public facility
    • Experience with events management
    • Experience in supervision of staff, students and/or volunteers

    Work Schedule/Hours:  40 hour flex-time schedule, to include the following:

    • Five days per week (Monday through Friday) from 9am to 6pm most days, with flexibility

    to allow for after-hours duties (described below)

    • Frequent afterhours duties associated with events and other evening/weekend activities

    presented by the TCVA

    • Supervision and back-up staffing for student and non-student temp coverage on Saturdays
    • Occasional coverage (in rotation with other TCVA staff) to provide coverage during holiday periods

    Anticipated Hiring Range: $35,000 - $39,500
